This Privacy Policy explains how SVDoc (“SVDoc,” “we,” “us,” or “our”) collects, uses, and shares information when you use our document management and electronic-signature service (the “Service”). By using the Service, you agree to the practices described here.
1. Information we collect
Information you provide
- Account information — name, email address, organization, role, and password (stored in hashed form).
- Documents and their contents — the files you upload or create, the fields and signatures placed on them, and the transaction details (such as property, parties, and checklist items) you enter.
- People and signers — names, email addresses, and roles of the people you add to your directory or send documents to.
- Communications — messages you send us for support.
Information collected automatically
- Usage and log data — actions taken in the Service, timestamps, and event history (for example, when a document is sent or signed).
- Device and connection data — IP address and basic browser information used to operate and secure the Service.
- Cookies — we use essential cookies to keep you signed in and to run the Service. See “Cookies” below.
2. How we use information
- To provide, operate, and maintain the Service, including preparing, sending, signing, and storing documents;
- to authenticate users and secure accounts;
- to send transactional messages, such as signing-request emails and notifications;
- to provide support and respond to your requests;
- to monitor, troubleshoot, and improve the Service; and
- to comply with legal obligations and enforce our Terms.
3. How we share information
We do not sell your personal information. We share information only as follows:
- Service providers — vendors that host our infrastructure and deliver email on our behalf, acting under contract and only as needed to provide the Service.
- At your direction — with the signers and recipients you choose to send documents to.
- Legal reasons — when required by law, regulation, legal process, or to protect the rights, safety, and security of SVDoc, our users, or the public.
- Business transfers — in connection with a merger, acquisition, or sale of assets, subject to this Policy.
4. Signers
If you sign a document through the Service, the account holder who sent it is responsible for that document and controls it. We process signer information to deliver the document, record the signature and related events, and provide the completed record to the sender. If you have questions about a specific document, please contact the party who sent it to you.
5. Cookies
We use cookies that are strictly necessary to run the Service, such as keeping you signed in. We do not use the Service to serve third-party advertising. Because these cookies are essential, disabling them may prevent the Service from working.
6. Data retention
We retain your information for as long as your account is active or as needed to provide the Service, and afterward as necessary to comply with legal obligations, resolve disputes, and enforce our agreements. Deleted transactions and people are moved to a recoverable log before permanent removal. You may request deletion as described below.
7. Security
We use reasonable technical and organizational measures designed to protect information, including encrypted transport and hashed passwords. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.
8. Your rights and choices
Depending on where you live, you may have the right to access, correct, delete, or export your personal information, or to object to or restrict certain processing. You can update much of your information within the Service, and you may contact us to exercise these rights. We will respond consistent with applicable law, such as the GDPR and CCPA/CPRA where they apply.
9. International data transfers
We may process and store information in countries other than where you live. Where required, we take steps to provide an appropriate level of protection for such transfers.
10. Children’s privacy
The Service is intended for business use by adults and is not directed to children under 16. We do not knowingly collect personal information from children.
11. Third-party links
The Service or documents may contain links to third-party sites we do not control. This Policy does not apply to those sites, and we encourage you to review their privacy policies.
12. Changes to this Policy
We may update this Policy from time to time. If we make material changes, we will take reasonable steps to notify you and will update the “Last updated” date above.
